How to write a case Study: The Basics

A case study is a guide that walks the reader through a situation. It provides background information, a description of the solution, and how it was achieved. You can write a case study to inspire the reader to either come up with a solution of their own or review a solution already in place. The writer’s goal is to provide the reader with similar experiences as the writer did while researching the situation.

Before actually writing anything, you need to take several steps.

  • Pick the situation for which you wish to write
  • As much information as possible on the situation
  • Analyze all the factors surrounding the situation
  • Determine the final solution
  • Get information about the reasons why the solution failed.

These steps will allow you to create the case study content.

Describe the situation/problem

The reader should have a clear understanding and appreciation of the situation. It is possible to state explicitly the problem in the study. It is possible to start by sharing quotes with someone who is familiar with the situation. Or you can present a question:

  • ABC Hospital has higher rates of post-surgical infections than other facilities in the vicinity.
  • ABC Hospital Director of Nursing stated that despite following rigid standards, there are still high rates of post-surgical infection.
  • Why is ABC Hospital’s post-surgical infected rate so high?

This gives the reader an opportunity to consider the problem and then read the rest of your case study. This establishes the expectation that you will present information that can be used by the reader to better understand the situation.

Please provide background

Background is information you found that explains why the problem exists. These will include facts and figures sourced from trusted sources. This includes graphs, charts, tables and photos. You might also consider quotes from interviews. It is possible to include some anecdotal information.

“This has been a problem for several decades, according to former employees of the facility”

This section does not include the opinion of the author.

“I don’t believe that the infection review procedures have been followed very closely.”

You give information to the reader in this section that can be used to help them reach their own conclusions. As a writer of mysteries, you give clues to the reader that they can use to solve the puzzle. What is the problem with all this evidence? What can be done to reverse the trend and make the problem disappear?

A case study does not tell the reader what to think. It helps the reader to understand the thought process involved in reaching the final conclusion. Readers can draw their own conclusions, or criticize the logic. This is okay, because there might be multiple solutions to the problem. As they read this case study, the readers will have their own perspectives and backgrounds.

Give details about the solution

This section discusses the solution as well as the thought processes that led to it. This section provides information and a guide to the solution. This section might contain speculations or opinions by the author.

Although facts will be important in any decision, subjective thinking can also be used.

“Taking into account A and B and C, we suggested solution X.” This was the most prudent approach, in lieu of the current budget situation.

Briefly outline the key elements that will lead to the solution. Clearly define the purpose of the solution. What was the goal of the solution?

Analyze the solution

The case study might not have been completed in time for the full effect of the solution if it is a recent one.

“New infection guidelines were adopted in the first three quarters and the center hopes that enough information will be available by the end of the year to assess their effectiveness”

If the solution has been in use for some time, there is an opportunity to review facts and other impressions. Here you will find a summary of how the solution is performing.

Tell the whole story

The purpose of case study writing is to tell the story about a problem that was solved. The solution is presented and the evidence that supports it. The style of writing guides readers through the problem analysis like they are part of it. The end result is both entertaining and educational.
